Business Hours (Holiday Calendar)

Business Hours (AKA Hours of operation, Open Hours, Holiday Calendar) enable you to set the open hours of your company throughout Syncro, add holidays, and use these hours to determine things such as appointments, SLAs, tickets, and more!.

What it Does

Allows you to set the Hours of Operation for your business.
Choose Holidays that you are closed.

What it Doesn't Do

Doesn't speed the year up in terms of actual time travel.
Doesn't keep your clients from starting fires at 5pm.

Overview

The Business Hours can be used in several areas of the platform to change how you communicate with your Users.

  1. To get started, head to Admin > Business Hours.
  2. Check the Enable Business Hours box.
  3. Enter the opening and closing times for each day. (Note: You may need to click Save first if this is your first time enabling business hours.)

  4. Check the Closed box by any day you are closed.
  5. Make sure to click Save again after making any changes.

 

Holiday Calendar

You can set days where you will be closed and don't want customers scheduling appointments or certain communications going out to them.

  1. On the main Business Hours page in the lower left, click the Default Holiday Calendar dropdown and you can choose a default Holiday Calendar to pre-populate holidays from some regions.

  2. Click Save. This will display the Holiday Calendar screen.
  3. Check the boxes next to those holidays where you will be closed.

  4. You can also delete a holiday by hovering over the entry and clicking the red X to its right.
  5. Click Save.

To add your own holidays in which you are closed the entire day,

  1. In the upper right, click Holiday Calendar.
  2. In the upper right of the next screen, click Add A Custom Holiday.
  3. Give it an Event Name.

  4. Pick the Event Date.
  5. Click Save.

Note: Holidays imported from a national holiday calendar will re-import for the following year as long as they match with a holiday on the new calendar. Manually entered holidays will not repeat and will need to be re-entered each year.

Once you have the Holiday Calendar set up, that's largely it for configuration! Let's cover some places that Business Hours touches beyond the settings page.

 

Use Business Hours in Appointment Calendars, Custom Widgets and Booking Tool

If you would like our built-in appointment calendar that is used in Custom Widgets to follow the same opening/closing times and closed days and holidays as your business hours, do this.

  1. Go to Admin > App Center.
  2. Find the Appointment Booking app card and click it.
  3. Under Use Business Hours & Holiday Schedule, click Yes.

    Note: You must have Business Hours enabled (see Overview above) in order for this setting to be available.
  4. Click Save.

Now when you have time set as closed in the Business Hours, customers won't be able to book time during those periods. They will see those days grayed/crossed out as closed.

 

Only send ticket comments via SMS during business hours

You can enable a setting so that SMS messages sent from tickets and leads will only send to customers during business hours. If outside of business hours, the message will be queued to send when the business is open.

  1. Head to Admin > Tickets - Preferences.
  2. Near the bottom, click Additional Settings.
  3. Check the Ticket Comments - only send SMS during business hours box.
  4. Click Save.

Business Hours and After Hours Auto-Responder in Mailboxes

There is a setting in the Mailbox feature that will turn on an Auto-Responder that will look at the Business Hours and send a different template according to if you are open or closed.

  1. Head to Admin > Emails - Mailboxes (inbound email).
  2. By your active mailbox, click Edit.
  3. Check the Enable After-Hours AutoResponders box (A below).
    Note: You must have Business Hours enabled (see Overview above) in order for this setting to be available.
  4. Click the Advanced - Autoresponder Override button (B below).
  5. Edit the various templates as desired (C above).
  6. When finished, click Update Mailbox.

Three template tags are available to reflect your business hours on estimates, invoices, emails, etc.
